Community Room & Park Rental Applications

Park Facilities User Policy and Fee Schedule 

RESERVATIONS

Please email Townlaw@lawrencewi.gov for the applications and user agreements for the Park and Community Room Rental.  

Any organization/individual using various park facilities will be required to complete a Park Facility Application/Reservation Form and submit appropriate damage deposit and/or rental fees.  Reservations are made according to the *Priority of Use Standard.  Reservations will be confirmed upon receipt of the application/reservation form and appropriate fees.  Reservations will be taken no more than one (1) year and no less than two (2) working days prior to the event.

*Priority of Use Standard – Priority of use will be given to residents of the Town of Lawrence versus non-residents and will be on a first come first served basis.

CANCELLATIONS

Dates may not be changed once the rental agreement is signed.  The reservation deposit is non-refundable unless an alternate date is available.

RESIDENCY

Applicant must provide proof that they are a Town of Lawrence resident in order to receive the resident fee.  Proof of residency can include a valid driver’s license or recent utility bill.  If proof of residency can not be provided the applicant will be charged non-resident fees.

CLEAN UP & SET-UP

The facility is expected to be left in the condition it was found.  The cost of Town staff and equipment used to transport rental equipment and to perform clean-up and/or repair shall be billed to the renting organization/individual at 100% of Town cost within ten (10) days of the conclusion of the event.

The applicant will be responsible for removal of all decorations, removal of any items of property brought to the facility, and removing all trash or depositing all trash in appropriate receptacles.  All floors and counters of facilities rented shall be wiped clean. All Town tables must be returned to their original location (if moved). Prior to leaving facility, the user group/individual shall be responsible for cleaning and placing in order all areas used by them.

TRASH & RECYCLING

All trash including litter on the grounds shall be deposited in garbage cans or bins.  Recycling is required.

DAMAGE

The applicant shall be responsible for expenses incurred by the Town in correcting, cleaning, repairing, or replacing any facility or property of the Town which was damaged in connection with the activity or event for which the facility was rented, regardless of who caused the damages.

PARKING

Parking is permitted in allotted areas only.  No street parking is permitted except in designated areas.

GROUNDS

Grounds marking or grooming will be provided by the Town at the equipment and staff rate of 100% of Town cost.  If the town is unable to provide this service, user will have to make their own arrangements for this service.

INSURANCE

The applicant assumes the entire responsibility and liability for losses, damages, claims arriving out of injury or damages to the applicant’s display’s, equipment and other property brought upon the premises of the Town and shall indemnify and hold harmless the Town, agents, and employees from any and all such losses, damages and claims.

An organization/individual contracting to rent a Town Park Facility for a special event open to the public, group of 100 or more is required to present a certificate of insurance with limits of liability not less than $1,000,000 bodily injury each occurrence and $50,000 property damage each occurrence and hold the Town of Lawrence harmless.  The Town Of Lawrence shall not be liable for any injuries, deaths or property damage from the use of park facilities.  In addition, the Town Of Lawrence shall be listed as additional insured.  The certificate must be on file 30 days prior to the date of the event.  Copies of an insurance policy are not acceptable.  Acceptance of proof of insurance is at the discretion of the Town Clerk.

TRAFFIC CONTROL

On-street run/walk event sponsors shall contract with the Brown County Sheriff’s Department at least 60 days in advance of the event for traffic control according to the following schedule:

TENTS

Tents may be allowed by permission of the Town Board or its designee.  Fire Department inspection will be required.

An additional $20.00 fee will be charged if proof of residency can not be provided with the application.

All existing Park Rules and Town Ordinances, whether listed here or not, are to be observed.  The Town Board reserves the right to immediately terminate this agreement, and the applicant agrees to immediately vacate the premises upon notice of termination for failure to adhere to the rules and regulations set forth.
